NOW HIRING: DEVELOPMENT DIRECTOR
Civic Theatre’s Development Director has the responsibility of developing and implementing fundraising strategies and special events that meet operational, program, and capital campaign objectives for the organization.
Collaborate with the Managing Director and Artistic Director to ensure a clear and accurate interpretation of the organization’s vision and direction.
In concert with the Managing Director, set annual and long-range development and event budget goals.
Proactively manage cash flow expectations and annual expense budget for contributed income and develop plans that articulate focused and diverse efforts to meet and exceed fundraising goals.
Lead initiatives to achieve development-related strategic plan goals and further develop long-range contributed income goals and strategies.
Create and implement an annual fundraising plan consisting of grant proposals and reports, membership initiatives, annual fund, fundraising and friend-raising events, EITC contributions, and other strategic fundraising initiatives.
In collaboration with the Managing Director, coordinate and attend fundraising and friend-raising meetings with local businesses, foundations, and patrons. Post date and time of meetings on Google calendar and process confidential call reports for all meetings.
In concert with the Managing Director, represent Civic Theatre at foundation, corporate, and arts-related workshops and events relevant to Civic Theatre’s development efforts.
Attend staff, board, committee meetings, and special events as appropriate and requested.
Prepare weekly activity reports and monthly narrative and analytic reports for the Managing Director that detail progress toward annual and long-range goals.
Perform a variety of skilled administrative tasks directly related to development and capital campaign activities including but not limited to database entry, donor prospect lists, and acknowledgment of Marquee Society membership donations and other donor gifts.
Perform other duties as assigned by the Managing Director.
Identify, cultivate, and maintain positive relationships with donors and individual prospects, foundations, corporations, and government agencies.
Engage Marquee Society members, donors and prospects through one-on-one meetings, backstage opportunities, and cultivation events.
Track donor and prospect communication efforts and solicit gifts.
Process individual gifts in PatronManager and provide timely acknowledgement for gifts.
In collaboration with the Box Office Manager and Volunteer Coordinator, and Marketing and Community Engagement Director, monitor and manage donor lists and capital campaign donor recognition in playbills.
In concert with the Managing Director, cultivate participation in a formal planned giving program.
In collaboration with the Managing Director and Marketing and Community Engagement Director, create an online annual report to inform donors and patrons about Civic’s activities and financial performance.
Research, process, and track grant proposals and final reports to foundations, corporations, and government agencies for general operating, capital, mainstage productions and arthouse cinema, and education program support.
In concert with the Managing Director, meet with foundation, corporation, business and government entities to cultivate grant opportunities.
In collaboration with the Marketing and Community Engagement Director, Civic Film Manager, and Box Office Manager and Volunteer Coordinator, gather and present demographic data for grants and business partner solicitation and online annual report.
Process grant awards in PatronManager and provide timely gift acknowledgement.
In concert with the Managing Director and capital campaign leadership, keep campaign progressing with a high level of visibility and momentum that engenders a sense of excitement, optimism, and confidence in achieving the capital campaign goal.
Research and identify new and existing prospects for capital campaign solicitation.
Schedule meetings, prepare talking points, and assemble documentation for campaign leadership as requested.
Develop and submit grants to foundations and government entities in support of the capital campaign.
Work closely with the Managing Director and Business Manager to oversee timely acknowledgement, data entry, and tracking of all campaign gifts, pledges, and invoices.
Provide bi-weekly capital campaign update to capital campaign focus group and staff.
Create accurate documentation for theatre seat naming plaques, special donor wall plaques, and capital campaign donor recognition sorted by donor category for custom donor wall.
Coordinate printing and application of theatre seat naming plaques and special donor wall plaques.
Work closely with the Managing Director, Marketing and Community Engagement Director, and campaign committees to assist in developing and executing a public relations and communications plan to keep the campaign publicly visible through its successful conclusion.
Spearhead Marquee Society membership program strategy and initiatives to ensure retention of current members and acquisition of new Marquee Society members.
Create and implement opportunities to engage Marquee Society members.
Process Marquee Society memberships in PatronManager. Ensure timely gift acknowledgements and membership benefits.
In concert with the Marketing and Community Engagement Director, coordinate opening night reception invitation list to include Marquee Society members, capital campaign prospects, and special guests as requested by staff and board.
Develop, write, and distribute Marquee Society membership messaging and collateral to staff and film staff.
In collaboration with the Box Office Manager and Volunteer Coordinator, create an annual direct mail new member campaign.
In collaboration with the Box Office Manager and Volunteer Coordinator, create a quarterly lapsed member mailings.
In collaboration with the Box Office Manager and Volunteer Coordinator, create a membership campaign to upgrade Director Circle members.
In collaboration with the Box Office Manager and Volunteer Coordinator, create a membership campaign to renew and engage Civic Theatre Company members (target event date: March 15th).
In collaboration with the Film Manager, create a film patron new member campaign.
In collaboration with the Film Manager, create opportunities to engage local college students.
In collaboration with the Marketing and Community Engagement Director, coordinate stationery, vouchers, and brochure inventory.
Coordinate opening night receptions, special event receptions, and Marquee Society receptions (acquisition of food and beverages, room set-up, and volunteer assistance) in collaboration with Box Office Manager and Volunteer Coordinator and House Manager.
In collaboration with the Board of Director’s special event committee, staff, and volunteers, plan and implement fundraising, friend-raising, and cultivation events to attract, cultivate, and retain donors and volunteers.
In collaboration with the Board of Director’s special event committee, staff, and volunteers, coordinate meeting notes, action items and post-event evaluation.
In collaboration with the Managing Director and Board of Director’s special event committee, solicit, secure, and manage event sponsors and advertisers.
Maintain a spreadsheet of event sponsors and advertisers detailing contact information, sponsorship level, benefits, and account activity. Process all donations in PatronManager.
Ensure event sponsors and advertisers receive appropriate sponsor benefits, donation acknowledgement, and sponsorship recognition in a timely manner.
Collaborate with staff and capital campaign committee to ensure alignment of annual fund appeal(s).
Create, implement, and track results of annual fund appeal(s). Provide timely gift acknowledgement.
PA DCED’s Educational Improvement Tax Credit Program (EITC)
Coordinate and file annual EITC renewal application.
Coordinate superintendent and EITC-approved business correspondence.
In cooperation with the Business Manager, track EITC and program-restricted contributions. Ensure donation acknowledgement in a timely manner.
In coordination with the Marketing and Community Engagement Director, promote Civic’s participation in United Way.
In cooperation with the Business Manager, track United Way contributions. Ensure donation acknowledgement in a timely manner.
Bachelor’s Degree in a related field. Minimum three to five years experience in non-profit fundraising and grant writing may be substituted. Capital campaign and planned giving experience beneficial.
Exceptional leadership, interpersonal, written and verbal communication, time management, and organization skills required.
Proven ability to increase revenues through contributed income, with a measurable record of success in building and deepening donor relationships with individuals and institutional funders.
Ability to take initiative and ownership of projects and work with minimal direction and supervision.
Ability to lead multiple long- and short-term projects simultaneously, meeting all related deadlines.
Ability to uphold a tone of professionalism, collaboration, respect, and confidentiality, both internally and externally, while maintaining composure in a fast-paced setting.
Proficiency with Microsoft Office and internet literacy required; knowledge of Salesforce software useful.
Must be able to work a flexible schedule including nights and weekends to complete assignments in a timely manner.
